Job Description

Receptionist/Finance & Admin Assistant Reporting to: Business Manager Hours: 37.5 hours per week (Monday to Friday, 9:00 AM – 5:00 PM) Term time including INSET days, plus 10 additional days during school holidays Key Responsibilities Reception & Administration Serve as the first point of contact for the school, welcoming visitors and handling telephone/email inquiries professionally and in line with safeguarding procedures. Maintain school security by ensuring front doors are locked, controlling access to the premises, and ensuring all visitors sign in and wear a visitor badge if required. Manage filing and administrative systems in accordance with school policies. Sort and distribute incoming mail/packages and process outgoing post. Provide support to students by addressing queries and offering assistance as needed. Order school supplies, including stationery. Format and distribute the bi-termly school newsletter and update weekly news on social media and the school website. Assist with organizing and running school events, such as Open Mornings and Prize Giving. Ensure the reception area remains tidy and presentable. Finance Reconcile company credit card transactions and staff expenses on Sage. Handle and reconcile payments for school trips/events, and maintain petty cash records. Transport & Minibus Fleet Management Manage the school’s transport booking app and handle parent communications regarding bookings. Coordinate transport and drivers for school trips and events. Arrange taxis for students as and when required. General Perform other duties as assigned by the Business Manager or Headmaster. Person Specification Required Skills & Experience: Proven administrative experience, ideally within an educational setting. Strong organisational and multitasking abilities. Excellent communication and interpersonal skills. Proficiency in office software and database management. Ability to handle confidential information with discretion
